TASKS:
Warehouse & Inventory Management
1. To ensure that all products from the production lines are stored according to the stock
allocation plan.
2. To ensure that all products are released by QA prior to truck loading for deliveries to outlets.
3. To carry out FEFO audits on a daily basis, checking stock condition in the warehouse,
including the racking and buffer, paying particular attention to kitting and loads, ensuring no
expired or short dated products are loaded.
4. To highlight any stock variances to Inventory Clerks while reporting to Warehouse &
Distribution Manager.
5. To ensure that all areas assigned to Warehouse operations are kept in a clean and organised
order at all times according to the company’s GMP principles, while maintaining and following
up on cleaning records and schedules.
6. To liaise and coordinate shift changeovers, ensuring pending daily tasks are handed over
from one shift to another.
7. To be responsible for the Kitters’ picking accuracy and checkers for kitted and whole pallets
(i.e. to make sure that the quantity and description on the labels attached to the pallets are
the same as the ones on the load sheet). To ensure that picking accuracy targets are met
and suggest improvements to Warehouse & Distribution Manager.
8. To participate in Monthly stock takes and to coordinate resources including human resources
and any equipment that is required (i.e. tablets, scanners, VNAs, Lifters etc.).
9. To conduct minimum monthly racking inspections, record all findings on relevant form, and
coordinate repairs in the least possible time.
10. To coordinate the kitting area SKU allocation plan, taking into consideration new SKUs that
are introduced and SKU sales ranking changes. Liaises with SAP team to adjust loading
documents accordingly.
Truck Loading
1. To ensure that Buffer Area and Kitting Area are replenished continuously and kept in an
orderly way to facilitate truck loading and kitting of loads respectively. This practice needs to
be done during and before handing over shift.
2. To ensure that all kitted and loaded goods are scanned and the quantity and description on
the labels attached to the pallets are the same as the ones on the load sheet during loading.
3. To ensure that the Check-Out process is completed, that is Load Sheet is filled in and signed
by Checker accurately prior to exiting of each truck, Check Out process completed in SAP.
Any discrepancies must be investigated and resolved immediately and brought to the
attention of the Warehouse & Distribution Manager.
4. To ensure that the Check In process of trucks is accurately completed and entered in SAP.

5. To organise workforce as deemed necessary in order to optimise the efficiency in the truck
loading process (i.e. to reallocate workforce duties to strengthen operations that require
attention during the particular shift).
6. To ensure transfers between warehouses area facilitated as per procedure.
7. To ensure all loads are attended to in a timely fashion.
HR & Training
1. To liaise with the Warehouse & Distribution Manager to conduct Probation Reviews and
Performance Appraisals of all employees.
2. To recommend to the Warehouse & Distribution Manager succession planning and
professional development for the Warehouse team.
3. To ensure that all warehouse employees are kept motivated thus ensuring a good working
environment.
Ancillary Duties
1. To ensure that all goods, empties (pallets, dolly pack stackers, separators, kegs etc.) are
stacked in a proper manner to ensure proper stock rotation and avoid damage to the same
goods and any hazards to employees.
2. To ensure that the waste is collected from around the plant and organised in the waste area.
3. To ensure that a proper traffic management plan is implemented in the yard, parking, loading
area and in the warehouse at all times.
4. To ensure that all personnel in the Warehouse Department are conducting themselves in a
presentable manner (i.e. uniforms must be clean, visitors/clients are addressed in a polite
manner etc).
5. To ensure that self-employed drivers, helpers and visitors (Plant Sales, donations etc.) are
conducting themselves according to Company rules and regulations when on Company
premises (i.e. No one is allowed in the warehouse).
6. To ensure that all required information is recorded on the relevant forms according to
Company policies. (i.e. forklift & palletisers checking forms).
7. To ensure that all equipment (VNAs, forklifts, etc) are kept in a clean condition (min. weekly
washing inside and outside) and inform Transport Executive in case of any equipment
defects/damages.
8. To ensure that the warehouse first aid box is fully supplied and record all findings on relevant
form on a monthly basis.
9. To liaise with the Building Services section to attend to any maintenance requirements for the
upkeep of the warehouse and surrounding areas.
10. To ensure that all company rules and policies are abided (e.g. Consumption of food is done
only in the canteen; smoking is only permitted in designated smoking areas, etc.)
11. To promote Behaviour Based Safety and related Training while ensuring that all health and
safety regulations are adhered to by the entire department including the self-employed
drivers and their helpers, contractors, visitors and employees passing through and/or working
in the warehouse areas.
12. To ensure that the warehouse is operated in-line with HACCP, GMP, ISO.9000, ISO.14000,
OHSAS.18000 and FSSC.22000 requirements.
ACCOUNTABILITY
1. The sufficient running of the Department keeping within all budgets.
2. To ensure that hours worked by subordinates are efficient and effective.
3. The entire warehouse stock of finished and empty goods.
4. FEFO is applied at all times.
5. To ensure that all goods are being scanned in and out of the Warehouse.
6. Upkeep of warehouse and related areas (loading bays and yard).
SKILLS & COMPETENCIES
1. Warehouse Management Certification

3. ECDL certificate
4. 3 years + supervisory experience working within a warehouse environment
5. Able to communicate in Maltese & English.
