Overview

Provide executive support to the Deputy GM. The position involves interaction at all levels within the companies and access to sensitive and confidential information necessitating considerable use of tact, diplomacy, discretion, and judgment. The Business Support Executive will operate within the framework of policies, objectives, and budgets established by the Deputy GM.

TASKS:

  • To perform required preparation and research to produce briefing materials and information on all significant matters that require the Deputy GM’ s attention.
  • Review and be familiar with all reports, giving input to standardise and improve reports. Review reports to provide and Executive Summary and be able to flag any concerns to the Deputy GM.
  • To assist the Deputy GM in the monitoring of Company business plans and various department KPI’ s.
  • To ensure timely delivery of routine business monitoring reports and weekly KPI’ s from the various Departments and highlight action areas immediately. 
  • To assist the Deputy GM in organising meetings, taking meeting minutes, circulating the minutes and follow up of the actions following the specific meeting.
  • To prepare and collate reports/presentations according to the brief of the Deputy GM.
  • To manage the timely and accurate completion of special ad hoc projects as assigned by the Deputy GM.
  • To assist the Deputy GM in the development of timely and adequate strategic plans with the Senior Management Team to advance all the company’ s mission and objectives and to promote revenue, profitability, and growth as an organization. 
  • To maintain and update the office filing system and respective database. This includes electronic filing of documents. Ensure that important documents such as contracts, certificates, etc are saved in both hardcopy and softcopy
  • To act as the office gatekeeper, ensuring that calls and visitors are directed to the correct key people within the organisation and that such calls and visitors are handled in highly professional manner, thus leaving them with a positive first impression of the Company.
