Job Description

Overview

JOB OUTLINE: To be responsible for providing administrative assistance in the day-to-day running of the company’s HR office, performance management and employee relations function. To be responsible for Time and Attendance (T&A) processing and record-keeping and benefit administration.

TASKS:

  1. To ensure that time and attendance is updated by Managers in HR payroll system.
  2. To input any adjustments as authorized by the Section Manager and the Departmental Manager and inform Head Office.
  3. To forward all the required Payroll and Salary information to Head Office by the stipulated cut-off dates. This includes closing of payroll in HR system and sending required changes sheets.
  4. To prepare Time and Attendance reports on a weekly basis for all agency workers.
  5. To monitor probation/contract periods of employees and obtain feedback from their respective Managers prior to expiration of the probation/contract.
  6. To ensure all the necessary documentation for all employees including contracts and/or letter of appointments, JobPlus engagement forms are prepared. To prepare the necessary termination documentation including termination forms.
  7. To inform Head Office regarding updates to staff salaries, allowances, promotions, engagements and terminations.
  8. To maintain updated records in HR systems for vacation leave, sick leave, other absences and personal times.
  9. To assist in administering the Company’s Performance Management Programme which includes ensuring that all employees have an approved and updated job description and training plan in place, and that final appraisals are carried out.
  10. To prepare Overtime, Leave, Sick and other HR related reports.
  11. To review sick leave trends and perform analysis. To handle the Sick leave system, informing Departmental Managers of employees on sick leave and duration of sickness. To inform Company doctor of sick leave visits.
  12. To provide first line of support to Managers and Supervisors regarding the interpretation of the Collective Agreement, employment-related legislation and regulations and other HR related matters.
  13. To assist in organising and scheduling health monitoring assessments and in communicating results to concerned employees.
  14. To contribute to the administration of the Human Resources Department
  15. To Assistin coordinating training with departmental managers and ensuring that HR systems are updated with training records.
  16. To assist on ad-hoc projects as required.

REQUIREMENTS:

  • O level of education, with higher levels of education considered an asset
  • Good command of the English language, both written and spoken
  • Attention to detail
  • Able to handle sensitive and confidential information
  • Able to use Microsoft applications and IT systems
  • Demonstrates strong discipline required to ensure the accuracy and integrity of employee data, including T&A records
  • Good interpersonal skills
  • Willing to learn and grow
